Administrative Assistant, Frederick, MD

The Administrative Assistant performs a wide range of administrative and office support activities for the department to facilitate the efficient operation of the organization.

Essential Duties:

  • Act as receptionist, answer phones while maintaining a professional and pleasant demeanor.
  • Responsible for handling confidential records and documents.
  • Check and distribute all messages to include overnight and throughout the day answering machine messages.
  • Responsible for secretarial duties (including, but not limited to typing, maintaining files, filling supply requests, setting up meetings).
  • Maintain monthly appointment book; consult on a daily basis when redirecting calls.

Other Responsibilities:

  • Complete errands related to Service Coordination.
  • Manage outgoing and incoming mail including faxes.
  • Copy all necessary materials.
  • Operate, monitor, and arrange for maintenance of agency office equipment.
  • Organize and maintain office file cabinets.
  • Distribute and complete inventory of office supplies; including ordering new supplies as needed for the office.
  • Complete special projects as required, such as organizing closed files, completing bulk mailings, etc.
  • Provide other administrative assistance required by staff necessary for an efficiently managed office.
  • Participate in meetings and training sessions that offer learning opportunities that promote and enhance skills
    and professional development.
  • Perform all duties described, and others as required, using the foundation of agency philosophy and values.

 Supervisory Responsibilities:

  • This position has no supervisory responsibilities.

Required Competencies:

  • Excellent command of English language.
  • Ability to type a minimum of 45 words per minute.
  • Excellent telephone techniques and ability to act as a receptionist in a manner that reflects well on the agency and individuals served and that respects the confidential nature of information available.
  • Experience with office procedures and equipment including proficiency in Word, Excel, and Publisher.
  • Ability to organize, multi-task routine work and handle other duties as assigned.
  • Cooperative, team-oriented approach to assignments and projects.
  • The ability to use a multi-line phone system.
  • Good time management and organizational skills.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to prioritize work.
  • Have reliable automobile to travel to visits, meetings, etc. and a valid driver’s license with a good driving record.

Education:

  • High school diploma or GED

Experience:

  • Minimum three years administrative experience.
  • Experience in managing an office.
